How to write meeting minutes, with an AI first draft

Minutes are the part of a meeting nobody wants to write. A transcript gives you the raw material, and an AI summary gives you a first draft. The useful part is knowing what the final document should contain, so you can review the draft quickly.

What good meeting minutes contain

  • Date, time, place or link, and who attended.
  • The topics discussed, in the order they came up.
  • Decisions and agreements, written so someone who was not there can understand them.
  • Action items, each with a responsible person and a due date.
  • Open questions, and the date of the next meeting if there is one.

A simple template

  • Title, date and attendees.
  • Summary: three to six sentences on what the meeting was about and what was decided.
  • Decisions: one line each.
  • Action items: task, owner, due date.
  • Pending topics for the next meeting.

Get a first draft in three steps

  1. 1Record the meetingWith T-meet, open your Google Meet, Zoom (web) or Teams (web) call and press “Start recording”. No bot joins the call.
  2. 2Stop and read the draftYou get the transcript with speakers, a summary in the language of the meeting and a list of action items.
  3. 3Review and sendFix what the AI got wrong, add owners and dates that were not said out loud, and copy it into your email, document or project tool.

Review before you send

An AI summary can misread a name, a number or a date. Treat it as a draft: check decisions and action items against the transcript, especially anything with a deadline or an amount. Tell the participants you are recording, as it is required in many countries.

Can AI write the minutes for me?

It can write a first draft from the transcript: a summary and a list of action items. You should review it before sharing, because the AI can get names, numbers or dates wrong.

How long should meeting minutes be?

As short as they can be while still letting someone who was not there understand what was decided and who has to do what. One page is usually enough.

What is the difference between minutes and a transcript?

A transcript is everything that was said. Minutes are a short record of the decisions, agreements and action items.
